Complaints

The Club encourages members to address concerns or issues informally or by talking to a committee member.

To lodge a complaint please email tennis@lbltc.ie with a detailed description of events at which point the following process is followed.

Overview

A sub-committee addresses any internal or external complaint received and consists of the Chairperson, Men’s Captain, Ladies Captain and director of tennis.

Any complaint received is initially reviewed by this group and a decision made who will be involved.  In general any sub-committee member with a personal relationship with any involved party does not participate.

Only complaints received in writing can be considered.

All complaints are dealt with in confidence; the full committee is made aware a complaint is under investigation but no further details are disclosed.

Investigation

The scope of any investigation is limited to the occurrences raised in the complaint and measured against Club’s code of conduct available on the website. 

The nominated people on the sub-committee will discuss the nature of the complaint of all parties involved, speak to witnesses if required and consider all verifiable evidence

Other incidents or allegations outside the scope of the written complaint will not be in scope.

Outcomes

Depending on the nature and severity of the complaint the following remediations and sanctions are available to the sub-committee:

  • suspension for a period of time
  • exclusion from Club activities including open competitions and league
  • expulsion from the Club.

Reputational damage to the Club is an important consideration in any deliberations.

Findings

A written report will be issued on conclusion of this process.  All reports are written on a Without Prejudice basis.

The determination of this sub-committee is binding and final.
